So, you want to have an event at LCC? You've come to the right place. Let's start with the basics of what an event is, how you work with the Conference Services team and what you'll be expected to do to ensure your event meets the Star Standard.

What is an Event?

It's a good question; some activities are considered events and require the support of Conference Services while others are considered meetings and do not.

Here's a good way to look at it: any activities that take place inside a designated event space are considered events.

Our event spaces include:
  • Downtown- Michigan Room, Grand River Room, Dart Auditorium
  • West Campus- The Showroom, Auditorium, Atrium

For any gathering outside of the spaces listed above, it's a good idea to contact Conference Services or follow the steps on this website to determine if additional support is needed.

Examples of Events: GlobalFest in the Cesar Chavez Multicultural Center, Veterans Memorial Induction Ceremony in HHS, Tech Careers Job Fair in the West Campus Lobby

Event Classifications at LCC

It's important to know the difference between event types at LCC. Most events at LCC can either be classified as External or Internal, and in some cases may require assistance from Conference Services and in some cases, may not.

Here's a quick breakdown of External vs. Internal events:

Internal External

Employee Events: An event held by LCC for LCC employees

Examples: ACE Women's Network Breakfast, Fall Kick Off, Experience Starpower Awards Showcase

Sponsored Events: A sponsored event is an external event that receives money from LCC in support of the event in exchange for marketing, tickets or another in-kind contribution

How it works: The event planner contacts the Office of External Affairs and completes an LCC sponsorship form. Once a decision has been made to support the event, the event planner works with Conference Services regarding event logistics.

Examples: Turning Point of Lansing, Michigan Women's Network, Juneteenth

Student Events: An event held by LCC for LCC students

Examples: Party with the Prez, Finals Frenzy, Nursing Orientation

Hosted Events: A hosted event is an external event that has the support of an internal LCC group

How it works:

  • The hosting LCC group provides a monetary contribution in the form of room rental and/or food and beverage
  • The hosting LCC group provides a FOAPAL for either the full cost of the room rental (at the nonprofit rate) and/or the food and beverage. If the hosting LCC group pays for the food and beverage, the hosted group will be responsible for the full cost of the room rental (at the nonprofit rate).

Example: LCC Police and Public Safety host a safety training with the Michigan State Police at west campus

Community Events: An event held by LCC that the outside community is invited to, whether it's open to the public or by invitation

Examples: Job Fair, Malcolm X Symposium, Silver Bells Watch Party

 

Executive Office Hosting: An event hosted or supported by the LCC Executive Office

Examples: Mayor's Financial Health Team, Capital Area United Way, Sister City Commission

 

Required College Wide Training

Training is good! Training is fun! Training is required. At least the Conference Services - Event Planning at LCC training is required for all full-time, non-student and non-faculty LCC employees. The training is assigned in the Talent Management System to all new employees at the time of hire and reassigned to everyone once per year.

All internal event planners are required to be current with the training when planning an event.

Conference Services will also gladly visit departments or divisions in-person or virtually for training or an in-depth review of the LMS training.

Working with Conference Services

The Conference Services team assists in the coordination of your event's AV services, facilities needs, moving services requests, and catering, etc. Contact your Conference Services Coordinator to begin your planning, submit an event proposal, and to discuss our locations and spaces.

Conference Services offers:
  • Pre- and post-event communications packages
  • Directional and functional signage printing and set-up
  • Customized event plans by a certified meeting planner

Expectations

It's on all of us to make sure the College always looks its best. These are some of the things that you, as the internal event planner, are responsible for when running an event.

The Overall Space

When your event is over, there are a couple of things to remember to do.

  • Take all items out of the room that were brought in for the internal event immediately after the event
    • This includes programs, décor, awards and award boxes, etc.
  • Leave the room as you found it

If your event included food and beverage that wasn't ordered through Conference Services, there are a few more things, in addition to the above, that you need to take care of.

  • Remove all food and beverage from catering buffet tables
  • Remove all food and beverage, trash, etc. at the tables where people ate
