What is the process if a personal purchase is made with an LCC Card?
The College does not allow for personal expenses to be incurred on the LCC Card. Continual abuse of the LCC Card may result in revocation of your LCC Card and appropriate disciplinary action that may include discharge. If a personal purchase is made using the LCC Card in error, contact the vendor and request a credit on the LCC Card.
When the reverse charge comes through to the Concur Expense Report, reconcile both the positive and negative charges at the same time.
Lastly, write a letter on how you are going to ensure that this does not happen in the future, document how the mistake was made, confirmation that the charge has been either credited - or if that is not possible - a copy of the receipt from Cash Operations showing the reimbursement to the College. This letter must be signed by Cardholder and Supervisor and then forwarded to Seleana Samuel at MC 7130 or faxed to (517) 483-5289.
