How to find out which LCC programs graduate the most students
We report the number of graduates by degree/certificate annually to the Michigan Department of Career Development (MDCD) in the Degrees Conferred Report for IPEDS. As per government requirements, each degree and certificate is assigned federal CIP Code, and the graduation data is reported by CIP Code. This Degrees Conferred Report is available by reporting year on the network in Pcvol on "Andromeda" (G:)\LCCShare\Institutional Research\External Reports\Ipeds subfolder.
Note: The MDCD reporting year is consecutive Summer, Fall and Spring semesters (not Fall, Spring, and Summer). For example, the 1999-2000 reporting year was Summer 1999, Fall 1999, and Spring 2000.
How to submit a report request, and what should be included in the request
How to submit: Click on the
Help Desk button in your Lotus Notes toolbar, fill out the form
that appears, and click on Send.
What to include: Your request should include, as clearly
as possible, the question(s) you're seeking to answer with the
information. Be specific: state what information you want included and
excluded, the time period you want the report to encompass or exclude,
what the report will be used for, and when it is due. Failure to clearly
identify the information you're seeking will delay the development of
your report.
If you're not sure how to word your question, indicate on the Help Desk form that you would like someone to assist you in identifying the appropriate data variables. An example of a poorly worded question: How many students are enrolled in the Architecture Program? You'll get a number, but it's unlikely to be accurate or what you need. A more accurate question: How many students are currently enrolled in Spring 2001 courses with the ARCH Subject Code? Another question (which would produce an entirely different number): How many students who were enrolled for at least for one of the following three semesters at LCC? Fall 1999, Spring 2000, Summer 2000? currently have the Architecture Program as their Major? Be sure to include a list of the Curriculum Codes for Architecture (i.e., 0233, 0758, 0226).
How soon after I submit a report request will I get the requested information?
Usually within two weeks, depending on the complexity of your request and the time of year it was submitted. For example, from July to October, IRAR resources are heavily committed to the production of required federal and state reports.
How to get your requested information or report from ITS
It depends of what you requested. Whenever possible, we send the information electronically via Lotus Notes, as an attachment or text within a Lotus Notes memo.
What type of information can be pulled from the system(s) to create a requested report?
Variables which are already included in institutional reports. For example, student information such as seatcount, headcount, course credits, demographics, residency, grades, etc.

How to check the status of your report request
If you do not know the name of the person who is working on your request, contact the ITS Help Desk. It helps to provide the Orchestrator Activity Number (aka, "trouble ticket number") you received from ITS.
How to get your report done ASAP?
IRAR uses the following factors to prioritize its work: legal/government requirements; relation to the college mission and strategic plan; scope of impact on College directions and decisions; scope of benefit (i.e., return on investment); timeline; resources; and complexity. For example, top priority is given to college-wide development requests that support institutional effectiveness in relation to the college mission and strategic plan; departmental requests with uncertain enrollment or effectiveness impact are given a low priority.
What to do if data in a report doesn't agree with another report
Both reports may be right. It depends on the variables that were included or excluded, the point in time the data was extracted from the system. For example: Course completion rates may differ because one report was based on data extracted from a file that was "frozen" at a specific point in time, while the other report was based on data extracted from "live" Banner. Program enrollment may differ because one report counted the number of students enrolled in courses with the CJUS Subject Code, while the other report counted the number of students with one or more of the Criminal Justice curriculum codes as a Declared Major. Employee reports may differ because the count was based on different pay dates.
